We seek a proactive, entrepreneurial, and highly organized Assistant to support the founder’s day-to-day operations and ensure the smooth functioning of this impactful mission.

 

Position Overview:

The Assistant to the Founder will be a key partner to the founder, providing essential support in all facets of operations, project management, and strategy execution. This role requires a detail-oriented, resourceful individual with a strong entrepreneurial mindset, who can think creatively and adaptively to overcome challenges. Key Responsibilities:

1. Entrepreneurial Support & Strategic Thinking:

  • Act as a strategic thought partner, brainstorming and problem-solving to help the founder reach high-impact goals through innovative, out-of-the-box approaches.

  • Provide insights and propose creative solutions to address challenges, ensuring both short-term efficiency and long-term sustainability in operations and programs.

  • Assist in exploring new opportunities, partnerships, and approaches that align with the missions of J Ellington Publishing and Voice Up.

2. Administrative Support:

  • Manage the founder’s calendar, scheduling appointments, meetings, and travel arrangements to ensure efficient use of time.

  • Serve as the first point of contact, handling correspondence, emails, and phone calls with professionalism and confidentiality.

  • Prepare, organize, and maintain documents, reports, and presentations for the founder, ensuring high-quality materials for meetings and communications.


3. Project Coordination:

  • Assist in planning, organizing, and tracking key initiatives, coordinating timelines and deliverables to support the founder’s priorities.

  • Work closely with VoiceUp’s program directors, keeping the founder informed on project updates, deadlines, and outcomes.

  • Support the execution of special projects, events, and campaigns related to J Ellington Publishing and VoiceUp’s initiatives.


4. Research & Content Support:

  • Conduct research on topics relevant to J Ellington’s mission of family well-being and health transformation, compiling insights and data for the founder’s review.

  • Draft, edit, and proofread written content, including internal memos, reports, and external communications, maintaining a high standard of quality and alignment with organizational goals.

  • Stay up-to-date with trends and developments in family health, wellness, and social justice to provide valuable insights for the founder’s initiatives.


5. Operational & Relationship Management:

  • Oversee day-to-day administrative tasks, ensuring timely completion of tasks, correspondence, and requests.

  • Manage and prioritize incoming information, preparing summaries and providing background information to facilitate the founder’s decision-making.

  • Coordinate with key stakeholders, including board members, partners, clients, and team members, fostering positive and productive relationships.

 

Represent the founder in communications with collaborators and stakeholders, responding professionally and promptly to maintain the founder’s vision and presence.


Qualifications:

  • Currently enrolled in a higher learning institution, including two-year or four-year colleges, universities, or trade schools.

  • Or recent alumni with very strong on campus real time connections.

  • Or, bachelor’s degree preferred, with experience in administrative support, project management, or a related role.

  • Entrepreneurial mindset with a proactive approach to problem-solving, critical thinking, and exploring creative solutions.

  • Strong organizational and time-management skills, with a proven ability to manage multiple tasks and priorities.

  • Excellent written and verbal communication skills, with attention to detail and accuracy.

  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace; familiarity with project management tools is a plus.
